Before the work
Fee terms per matter
Choose per appearance, lump sum per stage, monthly retainer, hourly or mixed. Fees are agreed at intake and every invoice uses them.
Advances you draw from
Take an advance, draw fees and costs from it, and see the balance on the file. At 25% left, a top-up request is drafted using the usual spend for that case type. It is never sent on its own.
At court
Expenses from the phone
Photograph the receipt and pick the head: court fee, process fee, certified copy, stamp paper, commissioner fee, typing, photocopying, clerk allowance, conveyance or courier. It waits on the phone until you have signal.
The clerk's float, checked
Track the clerk's float and check it against receipts. Amounts above a set limit need partner approval. Duplicate receipts are flagged, and no markup is allowed on pure disbursements.
After every appearance
If something was paid at court during a hearing, the expense sheet opens afterwards. The appearance fee is already suggested.

GST invoices with no gaps
You get forward and reverse charge, invoice numbers in order with no gaps, part payments, receipts, cheque clearing and moving payments between invoices. Invoices are made as PDF.
Reminders that stop on payment
Invoice reminders go out 7, 21 and 45 days after the due date. A payment resets the schedule.
Invoices built from the file
Set up billing heads once, with receipt and tax options: pure agent disbursement, recharged cost or absorbed. Then an invoice builds itself from fee lines and expenses.
The client's money
Double-entry ledger
Money held for a client is recorded as a liability in a double-entry ledger. Transfers need approval, each client gets a statement, and the balance is refunded when the matter closes. The database won't allow a negative balance.
Time and activity
Use timers and get suggested entries for work you haven't logged. See unassigned time and realisation: what was recorded, billed and collected, per advocate, case type and client.
Reports and the accountant
Reports
See fees by area, ageing, case length and speed by type, adjournments by court, effective hourly rate per file, and top clients. You also see how much of your income depends on a few clients. A monthly report comes by e-mail.
Export, don't retype
Export to Tally XML (ledger masters and vouchers), QuickBooks IIF or Xero manual-journal CSV. Client money is shown as a liability in all of them. The same period always gives the same file, so importing it again changes nothing.
