Roles and what they see

Ten roles

Managing partner, partner, associate, junior, clerk, accounts, office admin, intern, of counsel and external expert. Each comes with sensible defaults for what they can see and do.

An access table you can read

Each role has 27 permission settings. Your firm can allow, deny or require approval for each one. A person can ask for access and get it for a limited time.

Access by case, team or firm

Give access to own cases, a team or practice group, the whole firm, named cases only, or one case for a limited time. This is enforced in the database, not just on the screen.

Hidden details

A clerk or intern sees a client's identity as “Hidden”. Fields meant for named people stay with those people. Reports count restricted files but don't name them.

Only the people named on a restricted file can see it. Partners are not added automatically.

Experts and counsel

Give an external expert access to one tagged set of documents. Give of counsel access to named cases only.

Time-limited access

Interns and outside people get an end date, and their access ends by itself.

Devices and leaving

Device list

Every phone and tablet is listed with when it last connected. Remove one and it deletes its data the next time it connects.

Offboarding in one click

Ending someone's access starts a guided handover. It can't finish while they still have listed dates. Their devices are wiped.

Sign-in safety

Three wrong passwords lock the account for 15 minutes. Five lock it for an hour. A failed sign-in from a new device is noted in the audit log, and the user is told.

Cover inside the firm

Ask a colleague to cover a hearing. They see the request before getting any access to the case.

Invite with a temporary password

A partner adds a member, and a temporary password is shown once. It must be changed at first sign-in. Nothing is sent by SMS.

A three-month intern

An intern joins to work on named cases.

What happensTheir access has an end date. On day 91 it ends, without anyone having to remember.

Keeping two clients apart

A merger client and a litigation client have a conflict.

What happensThe litigation file is restricted to three people. The managing partner is not one of them and can't open it.

Senior counsel for one hearing

Of counsel is brought in for a single case.

What happensThey see only that case, and its notes only if their role allows.

An associate resigns

Her notice period starts.

What happensOffboarding lists the hearing dates still in her name. Once they are given to others, her devices are wiped and her access ends.
